OC Services provides Keyholding as a crucial service for both residential and commercial customers. This service entails the safekeeping of a spare key to a property by the company. The primary purpose of Keyholding is to grant access to premises in situations where the key has been lost or stolen, or when the property is unoccupied, and its Intruder Alarm system has been activated. By entrusting OC Services with the responsibility of Keyholding, customers can rest assured that their properties will be accessible in case of emergencies. This service is particularly beneficial for properties that are often vacant, such as holiday homes or commercial buildings during off-hours.
There are several elements to our Keyholding Service, they are:
At OC Services, we understand the importance of security. Simply deliver your keys to the OC Services office, where they will be deposited within a secure facility without delay. Our meticulous approach ensures that all details are recorded in the company key register, giving you peace of mind knowing that your property is in safe hands.
Storage of keys will be invoiced by the company in line with the agreed payment plan stated in the Site Assignment Instructions (e.g. annually, monthly etc). In the event of a call out the customer will be charged in accordance with the plan held.
Keys will be retained in the facility for the duration of the contract. However, they will be immediately surrendered to an authorised representative of the customer if requested by the customer in writing.
In accordance with BS7984 upon contract termination, any unclaimed keys will be kept for a period of 1 month, they will then be destroyed in line with the company waste policy.
Keyholding enables access to a premises in the case of a lost or stolen key(s). This service is intended for use in emergencies in the event the customer primary key(s) are lost or unavailable. Valid photo identification such as a driving licence will be needed upon delivery of the keys.
Our keyholding service can be used if access needs to be provided to a third party, however this will only be performed if the customer has provided signed written permission to do so. In such instances, any third party wishing to enter the customers premises with the customers permission may only be granted access upon providing valid photo identification such as a driving licence or passport matching the name(s) given by the customer. Any persons requiring access to the customers property that does not carry valid photo identification may be refused entry and the customer may be charged a call out fee.
Where the opening and closing service is being used, a Keyholding Responding Officer will attend as outlined in the Site Assignment Instructions to complete the necessary procedures (e.g. Opening premises, deactivate alarm systems, inspect property and switch on lights and the same process in reverse on closing, activating the security system and ensuring that the property is secure and locked).
When alerted by an intruder alarm via the Alarm Receiving Centre (ARC) or Texecom Connect notification, a Keyholding Response Officer will respond rapidly, making their way to your premises. Once there, they will liaise with the OC Services on call security engineer who depending on your Intruder Alarm Annual Maintenance Package with OC Services, will carry out an in-person or remote systematic survey of your intruder alarm system to identify the device that triggered an alarm, analysing the level of threat, and determining whether the alert is legitimate or a false alarm and notifying the emergency services quickly, if required.
If an alarm has been activated The Key Response Officer will set/unset your intruder alarm as outlined by the customer in the site assignment instructions. In the case of intrusion, burglary or arson the Keyholding Response Officer will await the arrival of the emergency services, providing them access to the property and giving all available information. They will remain on site until the responding authorities have provided confirmation that the property can be secured.
